How To Write Event Fliers

Are you making a flier for some council event? Please help make your flier understandable for all people who will get a copy. Of course not all points will always be relevant; be your own judge about what could be important.

Of course. It also helps leaders and the office to sort and recognize different fliers quickly.

Name the event
So I can make a reference to the flier on the phone.

Describe the event
Do this even if the name somewhat describes the event; some people don't get it.

Who can participate
It is NOT obvious to Bear Cubs that Woodbadge is not for Webelos...

Who is organizing the event
It helps to distinguish council events from pack events, just in case the flier is distributed via cubmaster. The parents of the cubs and scouts want to know.

Date and time of event
Believe it or not, but I have seen many fliers without.

Place of event
Also meeting place, if it is not the same. Not everybody knows where Oljato / Cutter / Philmont etc is. It is however ok to leave out details if they are provided to participants in a different mailing.

Where to get more information
Place, name, or, phone number for questions. "Ask the cubmaster" frequently does NOT work for council events.

Where and when to register, cost for participants, and, what to bring.
Not all cubmaster's want to be in the loop for registring individuals for a council event; others insist.
Registration slip needs to tell whether confirmation will be made or not.

Date when flier is made
If corrections have been made I want to be able to identify the later version. (For example to decide which one to copy for my pack.)

State distribution on flier
As a cubmaster I need to know who else gets the information which is mailed to me.
In particular I need to know whether I have to forward information to the cubs, or, whether they got the information directly from the council.

Some lesser details

Grades during vacation are confusing to everybody but experienced scouters.
Say "entering second grade".

If Tiger Cubs are excluded from a Cub Scout event, say so.
They really don't know.

Do not use dark paper.
To enable unit leader making copies using second class copy machines.

Use regular size paper.
So unit leaders can make more copies.

Is a volunteer's telephone number on the flier?
Does the flier specify which phone number is the office and which is for the volunteer?

Use a positive tone.
If you need early registration explain your need to know; a "late fee" is no reason to register early for many families.
If you ask for carpooling, explain that you are short on parking place. Motivation helps people comply!.

Is the back of the registration slip empty?
Once the slip is sent in, that information is gone. Is the border big enough to punch holes and put the flier into a binder?

Ask another person to proof read your flier.
It is amazing what you can forget because it is too obvious.

Compare with last years flier.
Maybe you forgot something.

If time permits, wait a day before printing.
I usually remember what I forgot right the next morning.

Ask the council office whether your flier has been mailed.
Repeat doing this daily until they say yes.
