Sample Committee Meeting Minutes

Short minutes from committee meeting, April 19, 1995

No den leader part
because we had too much other stuff planned for today.
Quick program review of last pack meeting
April pack meeting (camping skills). The meeting was good; thanks to Troop 5 for
doing this. The mosquitos were bad at this time.
May pack meeting, Arrow of Light Ceremony.
- Gathering Game idea from KM with animal kards on the back. (Last years trick was praised,
but it can't be repeated.)
- Flag ceremony: SL's den
- Arrow of Light graduation ceremony.
CJ and JJ picked a ceremony with candles from ceremonies book. Small
changes for: less talk, more fun, shorter. Jean will make arrows to give
boys. GL will shoot arrows.
- Small activity (could be something from the "sparkler").
- Marshmallows and drinks will be served.
- Need wood. Bridge. Speaker system. Sticks. Candles. Candle holder.
- Not all 5th grade webelos have already decided what troop they go. Need to ask scoutmasters
for participating in arrow of light ceremony. Indecisive webelos are welcome to stay
with pack 6 longer until they find a troop.
April family Viking campout
- Sofar 17 families have signed up.
- Our camp site is occupied the previous night, but first come first served single family
sites are usually available on friday nights.
- We had a long experiment with an egg powered steam boat in JJ's bath tub. It didn't
work; I guess vikings didn't use steam boats after all. We'll use a sail (skewer+paper).
- The ominous obligatory dangerous and hated (by parents) Zorch game.
We figured that no grownup knew the rules. CJ volunteered to come up with a game
which we will call "Zorch" (and the cubs will like).

ScoutORama tickets
SL has tickets.
Selling lots of tickets could save us from deficit. Den-leaders are encouraged to
ask SL for more tickets.
ScoutORama booth
Helper schedule; JC. condemned to ask people. This might be a lot of work and JC. shouldn't
be left alone doing this.
DJ will buy two boxes of thin scrap leather and one cheap leather puncher for us
at Tandy in San Jose.
Earthquake book distribution
The pack volunteered to distribute the earthquake books for the City of Palo Alto.
Chris and Jean did decide to volunteer Pack 6 on the spot when asked by the fire
department. The committee blessed their decision.
The pack got the same area as used for scouting for food. However KM decisively
subdivided the grid area into new den sized pieces. Den leaders which haven't picked
up the books, please do so. They are at Chris's home. xxxxxx.
Distributing the books is NOT solicitating and should be done at every house. It
is ok to combine book distribution with ticket sale; the fire department volunteered
that idea.
Financial state
Good news. CP. told and surprised us that our checking balance still is approx xxx
dollars (last years reserve was approx yyyy$). We extrapolated that we will use up
a little from our reserve, but that we will stay reasonable, unless the ScoutORama
ticket sale would go bad. I apologize for "approx" but remembering financial information
is not one of my strong points.
This means we probably won't need to participate in the popcorn sale fundraiser in
September.
Friends of scouting fund raiser
Council goals for our pack might not be reached. DS. will send a second letter to all people who
are not on file for a donation yet. This is not good, but we are a somewhat better
then last year.
Personnel issues
I don't want to repeat the names considered as this might be distributed. 7 leadership
positions need to be replaced between now and September. CJ reported that PC has
agreed to be in charge of awards (This counts as an assistant cubmaster position on
the registration form)
We don't think Jean can be replaced. CJ was asked to make a plan on how to split
parts of the cubmaster jobs in smaller units so we are more likely to find volunteers.
We might have to re-shuffle wolf dens to be able to have leaders for two dens.
We promised KM that we will try not to re-shuffle webelos dens if possible.
Summer activities
It was decided that the pack will provide some summer activities like last year.
The details are not yet proposed or decided. Den's are encouraged to meet through
summer but it is acknowledged that this is not possible for all dens. I encourage
dens to do things and open it up for other dens to participate.
Camp Takima day camp registration requirements
Packs were required to help in registering for the Takima day camp, and to make sure
adult help is provided. The committee thought that registration help requirements don't not need to be taken serious.
It was mentioned that our council camps, (cub scout day camp and resident camp) are pretty good
and have excellent leadership this year.
Misc
Next district roundtable, May 4
7:30pm at LDS Church building at xxx Avenue just off yyy Road.
Jean should go.
District Arrow of Light Weekend June 3-4 is open for all Cub Scouts (including Tiger Cubs). We recommend
to rather go to this weekend camp then to the cub-on which is at the same time.
Next committee meeting: May 31.
